DEFINE

Once the event plan is in place, the next step is to find a suitable venue that aligns with the event’s objectives and accommodates the anticipated number of attendees. This process involves negotiating contracts, managing logistics (such as transportation, accommodation, and catering), and ensuring that the chosen venue can fulfill technical requirements like audio-visual setup and seating arrangements.

DIRECT

Events often require various external vendors and suppliers, such as caterers, decorators, AV technicians, and transportation providers. Vendor management includes sourcing, negotiating contracts, setting expectations, and coordinating their services to align with the event’s requirements. Effective communication and collaboration with vendors are key to ensuring everything runs smoothly.

DELIVER

This is the phase where the event actually takes place. On-site management includes overseeing event setup, coordinating with vendors and staff, managing attendee registration and check-in, and ensuring that the event schedule is followed. Addressing any unexpected issues and providing a seamless experience for attendees are essential aspects of this process.

DONE !

After the event concludes, it’s important to assess its success and gather feedback for future improvement. This process involves collecting data on attendance, participant feedback, and financial outcomes. A post-event evaluation helps identify areas of success and areas that may need improvement. It also involves debriefing with the event team to discuss what went well and what could be enhanced in future event.
